Community Facilities Use

Before You Apply

Start early. Applications must be submitted at least 14 calendar days before the requested use. Large events and tournaments may require 30 days’ advance submission and additional planning.

Submitting an application does not reserve a facility or guarantee approval.

1. Gather Your Event Information

Before completing the application, have the following information ready:

  • Your organization’s name and contact information
  • The purpose of your activity and estimated attendance
  • The facility or space you would like to use
  • Requested dates and times, including setup and cleanup
  • Equipment, lighting, restroom, or other service needs
  • Whether you will charge admission, collect participation fees, or solicit funds
  • Any special requests, including food service or vendors

Providing complete information helps the District review your request and determine any additional requirements for your activity.

2. Review the Manual and Potential Costs

Read the DNUSD Facility Use Manual before applying. It explains scheduling priorities, user classifications, insurance requirements, fees, and responsibilities.

Costs depend on your organization’s classification, the requested facility, and the services needed. In addition to facility fees, charges may apply for staffing, utilities, lighting, sanitation, security, setup, cleanup, or other event needs. Advance payment or a deposit may be required.

Nonprofit status alone does not qualify an organization for reduced fees. The District determines the applicable classification and charges.

3. Prepare Your Insurance and Supporting Information

Unless waived by the District, non-District users must provide:

  • A Certificate of Insurance
  • An Additional Insured Endorsement
  • A Hold Harmless Agreement

General liability coverage must be at least $1,000,000 per occurrence. The Additional Insured Endorsement must name Del Norte Unified School District, 301 West Washington Blvd., Crescent City, CA 95531, its officials, agents, and employees, without obligation or payment of premiums.

Additional coverage or documentation may be required depending on the activity. Ask about requirements early so you have time to work with your insurance provider.

Large events, tournaments, kitchen use, food vendors, and activities requiring security or traffic control may need additional approvals, staffing, or event plans.

4. Complete and Submit Your Application

Once you have reviewed the requirements and discussed your plans with the designated contact, complete the Application for Use of Facilities.

Provide complete information, including all requested dates and times for setup, activities, and cleanup. Include required insurance documents and any additional event details or supporting materials requested by the District. Attach additional information if it does not fit on the form.

5. Wait for District Approval

District staff will review availability, insurance, staffing, safety, and operational needs. Final approval rests with the Superintendent or designee.

Before using the facility, obtain District approval and complete any required payments, documentation, or other conditions. Use is limited to the approved dates, times, locations, and activities.

During and After Your Event

Facility users are responsible for supervising participants, following District rules, protecting school property, and leaving the space clean and orderly. Activities involving minors require continuous adult supervision.

Additional charges may apply for damage, excessive cleanup, staffing overruns, or other costs resulting from your event.

Need to cancel? Submit cancellation requests at least 48 hours before the event whenever possible. Your organization may still be responsible for costs the District has already incurred.

The District may change or cancel approved use because of school needs, weather, unsafe conditions, emergencies, maintenance, or staffing limitations.
